Status (Archive and Unarchive a person) Follow
For best practices regarding your user list, uAttend recommends maintaining the status of your users by updating this field. You might archive a user if an employee was terminated, put on leave, left seasonally, or temporarily took time off for school. You can not delete a user, or remove or erase an employee in uAttend. Instead of deleting a user, you can archive them so their records are still retrievable in the future if needed.
Notes:
- Supervisors can be configured with permissions to view and/or edit employees. Their responsibility can also be limited to certain departments, thereby limiting which employee profiles they can access.
- Biometric data will be purged for employees set to archived status. Use the temporarily inactive status to preserve biometric data for employees who will be returning to active status in the future.
- Be aware of the employee range of your price plan when removing employees. You must edit your price plan after removing employees below the range of your current plan.
- Refunds are not granted for "unused" features, devices, users, or services. See the End User License Agreement.
- Biometric data for archived employees may be purged immediately upon archiving them. Biometric data for temporarily inactive employees will be preserved for when they are reactivated. All biometric data will be purged when the account is set to inactive status.
To archive/temporarily inactivate a person:
- Log in to the uAttend cloud portal as an administrator or supervisor (with permissions).
- Click on the People tab.
- Click on the intended person's name or the magnifying glass icon in the upper right corner of the window to search for a person.
- Click the drop-down menu and select the intended Status option (listed below) for this person.
- Inactive - Biometric data is purged (if applicable)
- Temporarily Inactive - Biometric data is preserved (if applicable)
- Click the SAVE button.
To unarchive people:
- Log in to the uAttend cloud portal with an administrator or supervisor (with permissions) profile.
- Click on the People tab.
- Click the Filter icon next to the magnifying glass in the upper right-hand corner.
- Select the Archived People/Temporarily Inactive People/All People option from the list.
- Click on the checkbox for the intended person(s) or the magnifying glass icon in the upper right corner of the window to search for a person.
- Click the Edit Status button and select the intended Status option (listed below) for this person from the list.
- Active - Available in the system for profile edits and/or time and attendance tracking (if applicable)
- Archived - Biometric data is purged (if applicable)
- Temporarily Inactive - Biometric data is preserved (if applicable)
- Complete the Biometric Data Disclosure (as applicable).
