Setting up Supervisor Permissions is crucial for customizing the level of access your supervisors have to various data within your system. When enabled, supervisors will be able to view the departments and employees they are directly responsible for, ensuring that sensitive information remains secure and supervisors can focus on their designated areas. Supervisor Profiles vs. Employee Profiles
It's important to note that supervisors do not count towards your employee price plan since their time and attendance is not tracked. However, if a supervisor needs to perform both supervisory functions and punch in for work, they will require two separate profiles - one for their supervisor role and one for their employee role. Converting an employee profile to a supervisor profile will remove any existing time and attendance data associated with that employee, so it's recommended to create a new supervisor profile to preserve the time and attendance data.
Accessing Supervisor Permissions
Supervisor permissions are set on a per-person basis and will be updated directly from the supervisor's profile. In the Permissions section of their profile, you will find sections for Department Permissions, Employee Permissions, Timecard Permissions, and Access Permissions.
To begin configuring a supervisor's permissions:
- Log in to the uAttend cloud portal as an administrator.
- Navigate to the People tab.
- Locate the intended supervisor by name using the search function as needed.
- Click the Permissions tab located on the left-hand navigation panel.
Department Permissions
In the Department Permissions section, you can select the departments for which the supervisor will be responsible. By default, supervisors will be able to view the department and department settings. To grant additional permissions, such as the ability to add, edit, or archive departments, you will need to enable that option.
Employee Permissions
The Employee Permissions section allows you to control the supervisor's ability to manage employee profiles for employee's with a Home Department listed within their responsible departments. Supervisors will be able to view the profiles of employees whose home department falls under their responsible departments by default. If you wish to allow the supervisor to add, edit, or archive employee profiles, enable the setting within the Employee Permissions section.
Timecard Permissions
In the Timecard Permissions section, you can specify whether supervisors can view and/or edit timecards for employees within their responsible departments. By default, supervisors will be able to view all the timecards of any employee in their responsible departments. If you want supervisors to have the ability to edit and update timecards, you'll need to enable the viewing and editing option.
Access Permissions
The Access Permissions section determines whether supervisors have access to additional tools such as the smartphone app or the ability to perform group punches.
Smartphone Access
Enabling the Allow Smartphone Access option allows the supervisor to use the smartphone app to manage various tasks like Group Punching, Approve Timecards, and Email Timecards. The supervisor will need to be set up with an email and invited to create a username and password.
Group Punch
When you enable the Group Punch option, supervisors can perform group punches for employees within their responsible departments. This feature is useful for managing large teams or shifts.
