11 - Edit timecards for your employees

In this article, we will be taking a closer look at editing timecards. Prior to running payroll reports, you will want to validate and fix any errors employees may have made. 

As a uAttend administrator, you have control over adding benefit times to the timecards,  editing, deleting and adding missed punches.  Whether your employees have forgotten to request time off or have an emergency come up you can use the following instructions to edit the timecard to account for their absence.   

You will learn the following in the steps below: Adding a Punch to the timecard, Adding Benefit Time to the timecards (VAC/HOL/OTH), Add Job Punch, Edit a Punch, Delete a Punch, Edit a Job, Edit Tips, and how to Recalculate a timecard after you've made the appropriate edits. 

Notes:

• Only administrators, supervisors, or employees with timecard view + edit privileges are able to edit timecards. By default, supervisors and employee roles do not have this privilege. 

Adding a Punch to the timecard

Keep in mind that the same method can be used to add Break/Lunch punches.

1. Navigate to the Timecards tab in your uAttend portal.
2. Click on any User's name.
3. On the right-hand side click on the + sign button.
4. Next to Punch Type leave as IN/OUT (Switch to Break or Lunch if it will be a different type of punch).
5. If you have Department Transfer enabled for the user select the Department from the drop-down menu Enabling Department Transfer
6. Next to In time, you can Enter the time that the employee was supposed to punch in.
7. Next to Out time, you can Enter the time that the employee was supposed to punch out.
8. You can add a note, but this is completely optional.
9. Click the SAVE AND CLOSE button.

 

Adding Benefit Time to the timecards

This example will go over adding a sick day to the timecard. This is the same procedure for VAC/HOL/OTH. Please note: Only REG hours count towards OT

1. Navigate to the Timecards tab in your uAttend portal.
2. Click on any User's name.
3. On the right-hand side click on the + sign button.
4. Next to Punch Type click on the drop-down menu and select the Benefit option.
5. Here you can modify the date if you choose. In our case, you will leave that unchanged.
6. For Benefit Type select the dropdown menu and change to SIC. (Switch to VAC/HOL/OTH if you will be using a different benefit)
7. Next to Benefit Hours click on the empty field and enter how many hours to add to the timecard with the keyboard.
8. You can add a note but this is completely optional.
9. Click the SAVE AND CLOSE button.

Here you will see that the 8 hours were added to the SIC column and there is no punch-in or out time.

Add Job Punch

Please note: Job tracking must be enabled for the employee in order to be able to add a job punch to an employee's timecard. 

1. Navigate to the Timecards tab in your uAttend portal.
2. Click on any User's name.
3. On the right-hand side click on the + sign button.
4. Select Job as the Punch Type.
5. Next to Job Start Enter the time that the user started the job via keyboard. 
6. On the right-hand side confirm the date is correct.
7. Next to Job End Enter the time that the user started the job via keyboard. 
8. On the right-hand side confirm the date is correct.
9. Next to Job Number Select a job number from the drop-down menu.
10. You can add a note but this is completely optional.
11. Click the SAVE AND CLOSE button.

 

Edit a Punch

1. Navigate to the Timecards tab in your uAttend portal.
2. Click on any User's name.
3. Click the pencil icon next to the punch you would like to modify.
4. You can make any necessary changes then click SAVE AND CLOSE.

Please Note: Details for the original punch and who last edited the punch will be displayed

 

Delete a Punch

1. Navigate to the Timecards tab in your uAttend portal.
2. Click on any User's name.
3. Click the trash can icon next to any of the punches.
4. Click YES to confirm the deletion of the punch.

 

Edit a Job

1. Navigate to the Timecards tab in your uAttend portal.
2. Click on the icon labeled with  J on the right-hand side
3. Click on the pencil icon on the right-hand side
4. Make any changes necessary 
5. Click Save at the bottom

 

Edit Tips

1. Navigate to the Timecards tab in your uAttend portal.
2. Click on the icon labeled with  T on the right-hand side of the punch that you would like to modify.
3. Click on the pencil icon on the right-hand side.
4. Make any changes necessary.
5. Click Save at the bottom.

 

Recalculating Timecards

Making changes to departments, pay periods, or minute format will all require recalculation of the past timecards to see the change. 

1. Navigate to the Timecards tab in your uAttend portal.
2. Click on any User's name.
3. Scroll to the bottom of the timecard. 
4. On the bottom right-hand side click the Recalculate button.
