Employee PIN Number Follow
PINs used as one of the many authentication methods available on time clocks to identify and verify employees. Each 4-digit numeric PIN must be unique.
Notes:
- PINs are assigned in an employee's profile by an administrator or a supervisor.
- Supervisors can be configured with permissions to view and/or edit employees. Their responsibility can also be limited to certain departments, thereby limiting which employee profiles they can access.
- A PIN can only be assigned to one employee at a time. Archived and temporarily inactive employees still retain their PINs, but they will not be accepted by time clocks.
Add a PIN
To add a PIN number for an employee:
- Log in to the uAttend cloud portal as an administrator or supervisor (with permissions).
- Click on the People tab.
- Click on the name of the intended employee or use the Search
icon in the upper-right corner of the window to search for an employee.
- Click the Punch Management tab in the side navigation.
- Enter the intended 4-digit PIN number for this employee.
- Click the SAVE button.
Troubleshooting
If you see the error "Something Went Wrong: Pin already exists in your account," the PIN is already assigned to another employee.
You can:

Create a new PIN
If reusing the PIN is not required, assign a new, unique PIN to the employee instead. -
Remove the PIN from the existing profile
If you need to reuse the pin, you will need to remove it from the employee it is currently assigned to before assigning it to the new employee.
To find who the PIN is assigned to:
- Navigate to Reports.
- Select Employee Report.
- Update the Employee Type filter to include Both.
- Click the Attributes filter and select PIN.
- Use Ctrl + F (Windows) or Cmd + F (Mac) to search for the PIN.
TIP: If your report contains multiple pages: Export the report and open it in a spreadsheet tool. You can search the spreadsheet to locate the PIN quickly.
To remove the PIN from the existing profile:
- If the employee is archived: Reactivate the profile.
- Navigate to People and click the employee's name.
- Click Punch Management tab in the side navigation panel.
- Delete the PIN and Save the changes.
- If the employee was previously archived:
- Click the Personal tab in the side navigation panel.
- Set the Status to Inactive.
- Save the changes.
After removing the PIN from the profile, you can add the PIN to the new employee's profile.
