Process an Off-Cycle Payroll Follow
Need to process a one-time or special payroll outside of your normal pay schedule? No problem, use the Off‑Cycle Payroll Widget (Quick Pay) to process non‑standard pay runs outside of your normal payroll schedule. This includes bonuses, commissions, final paychecks, corrections, or any other special payment.
The information in this article applies to accounts using uAttend Payroll. If you are looking to export time and attendance details for a 3rd party payroll provider, please see our Export Preferences and Pay Period Report articles.
Step 1. Access the Off-Cycle Payroll Widget
- Log in to the uAttend cloud portal as an administrator.
- Navigate to the Payroll tab.
- Locate the Off-cycle Payroll widget.
- Click Process Quick Pay.
Step 2. Set the Pay Period
Select the pay period date range for the pay run.
- Select a current or future pay period from the dropdown, or
- Use the Custom option to select a custom date range.
The Off-Cycle Payroll widget does not allow you to select a previous pay period from the dropdown. Use the Custom option to select the dates for a previous pay period.
Step 3. Adjust the Check Date
The check date defaults several days out but can be adjusted. Click the date or calendar icon to select a new date.
Ensure the check date is at least three business days out if on our Core plan or 1 business day out if on our Express plan.
- If you need to pay employees sooner than 3 business days out and on our Core plan, you'll need to pay using paper checks. Paper checks can be downloaded and printed same day.
Step 4. Select the Pay Codes
Click Filter Pay Codes and select which pay codes to include in the pay run. Filter Pay Codes allows you to select
Bonuses (BON $) and Commissions (COM $).
Tips and Expenses
Non-taxable commissions
Note: De-selecting a pay code does not exclude it from payroll calculations. All pay codes with values will be used to calculate payroll, even if they are not displayed in the table.
Step 5. Select Employee(s)
Select who you want to pay in the off-cycle pay run. You can select one person, multiple people, or everyone.
Step 6. Enter Hours and Lump Sums
We recommend importing time before editing any fields; importing timecard data will overwrite data that is already present.
- Click the Import icon to pull in timecard data.
- Enter bonuses and commissions as lump sum amounts in dollars (rather than hours).
- After entering any values, press TAB on your keyboard to ensure it is saved. If you don't hit TAB, the value may not process properly.
Step 7. Review the Pay Run
Click Next to calculate the provided payroll information. Once you click Next, you cannot go back to edit or update the fields. If you're not ready, click Save and Exit to save and come back later.
The review screen will provide you with a full payroll summary including:
- Total cash required for the pay run
- Taxes and deductions
- Employer taxes
- Pay Method per employee
Be sure to adjust the Pay Method for any employee receiving a paper check instead of direct deposit.
Step 8. Submit the Pay Run
When everything looks correct, click Submit. Submit payroll by 5:30 PM Eastern Time at least 3 business days before the check date for direct deposit.
Step 9. Approve and Process
Review the total funds required for the pay run and click Confirm to finalize and process payroll. Be sure you have the necessary funds available at the time of confirmation.
Once processed, you will see a confirmation screen displaying:
- Pay Period and check date
- The total cash required for payroll
